How to Use Pitis POS

Getting Started (5–15 minutes)
Download and install Pitis POS
Search for Pitis POS in the App Store (iPhone/iPad) and tap Get, or in Google Play (Android phone/tablet) and tap Install.
Completely free during beta — no credit card required.
First-time Setup Wizard
Open the app — the Setup Wizard launches automatically.
Follow each step with no manual configuration needed.
Enter business info
Fill in during setup:
Business Name — printed on every receipt
TIN — your LHDN Tax Identification Number
SSM No. — business registration number
Address — full business premises address
Add your first product
Enter a product with a name, price, and category.
More products can be added anytime from the Products tab in Inventory.
Connect a Bluetooth printer (optional)
Go to Settings → Printer → tap Scan.
Bluetooth thermal printers using the ESC/POS protocol (58mm or 80mm) are expected to work — confirm the "ESC/POS Bluetooth" label on the box before buying.
Ready to sell the same day
Setup done — open the POS tab and start your first sale today.
Making Your First Sale
Log in with your PIN
Select your name → enter your 4-digit PIN.
Each staff member has their own PIN for security and individual sales tracking.
Choose order type
Select from 4 types: Dine-in, Walk-in, Takeaway, or Retail.
F&B types (Dine-in/Walk-in/Takeaway) send orders to the kitchen KDS automatically.
Add items to cart
Tap products in the catalogue grid or scan a barcode.
Identical items are merged automatically in the cart.
Adjust quantity, modifiers, variants
Change quantity, select modifiers (less sugar, extra spicy), or pick a variant (size/temperature).
Price recalculates automatically.
Collect payment and print receipt
Enter the amount tendered — app calculates change automatically.
Receipt prints automatically if a printer is connected.
Sale saved before printing
Every sale is saved to the device before printing — a printer failure never means a lost sale.
Data is secure even without internet.
Payment Methods (Cash, DuitNow QR, Card)
Choose a payment method
On the payment screen, choose Cash, DuitNow QR, Card, or Customer Credit.
Each method is recorded separately in your reports.
Cash payment
Enter the amount tendered — the app calculates change automatically.
If a printer and cash drawer are connected, the drawer opens automatically after a cash payment.
DuitNow QR
Select DuitNow QR as the payment method. The customer scans your business DuitNow QR (your static QR from your bank) and pays from their banking app, then you confirm to record the sale.
Card
Select Card to record a payment made through your card terminal. Pitis records the sale; card processing is handled by your bank terminal.
Customer Credit
Select Customer Credit to charge a registered customer account (pay later). A customer must be selected first.
Inventory & Stock
Open Inventory
Tap the Inventory tab. There are two tabs at the top: Catalog (products) and Stock (stock levels).
Add a new product
In the Catalog tab → tap + → New Product.
Fill in Name and Selling Price; optional: Cost, SKU, Barcode, and a photo (Library or Camera).
Variants, combos & categories
Turn on Variants for size/temperature options. Use + → New Combo for combo sets and New Category for a new category.
Track stock
In the product form, turn on Track stock, set the unit (UoM) and the low-stock alert level.
Add stock (Stock In)
Stock tab → find the product → tap the green + icon → enter the quantity in and a note (e.g. supplier delivery) → Save.
Record wastage
Stock tab → tap the red − icon → enter the quantity and a reason (Damaged, Expired, Spillage, Other) → Save.
Stock alerts
The Stock tab shows Low Stock (orange) and Out of Stock (red) tiles. Tap to see the affected products.
Stock is a movement ledger
Every stock in/out is a movement record — the current level is calculated from it. Voiding a sale does not restore stock automatically; adjust it manually in the Stock tab.
Promo Codes & Discounts
Open Promo Codes
Settings → Promo Codes → tap + to create a new code.
Set the code & discount type
Enter a CODE (uppercase, e.g. SAVE10). Choose the type: Percent off (1–90%) or Fixed Amount (RM).
Limits & restrictions
Optional: Minimum Order (minimum bill amount), Usage Limit (max number of uses), and Expiry Date (valid through the whole expiry day).
Use a code at checkout
During payment, tap Promo → enter the code → Apply. If valid, the discount is applied; if not (expired / minimum not met), an error is shown.
Edit or deactivate a code
In the list, swipe left on a code → Edit or Deactivate. Percent discounts are capped at 90% to avoid RM0 bills.
Customers & Loyalty
Add a customer
More → Customers → tap +. Fill in Full Name (required); optional: Phone, Email, and TIN (for B2B e-Invoice).
Enable the Loyalty program
Settings → Loyalty → toggle Enable Loyalty Program ON.
Set the points rates
Set Points per RM1 (earn rate, 1–10 pts) and Value per point (redeem value, RM0.05–RM1.00), plus the minimum points to redeem.
Redeem points at checkout
Select a customer at POS → open Redeem points → enter the points to redeem → the discount is applied to the bill.
Points follow the customer
Points are earned automatically when a registered customer buys, and stored on that customer record.
F&B: Table Service (Dine-in Pay Later)
Enable this mode
Settings → F&B → toggle "Dine-in pay later" ON.
If OFF, all order types require upfront payment (suitable for fast-service cafés).
Select a table
Go to the Tables tab → tap the table you want.
Green = empty · Red = occupied. Tables can be added in Settings.
Take order and send to kitchen
Add items to cart → tap "Send to Kitchen".
A kitchen ticket appears in KDS automatically. The bill is saved as an open bill.
Add more items later
Recall the open bill → add new items → tap "Send to Kitchen" again.
Only new items are sent — no duplicate tickets.
Pay when the customer is ready
Recall bill → review all items → choose payment method → Pay.
The table status automatically changes to empty after settling.
QR Self-Order (Customers Order Themselves)
Enable QR Menu
Settings → QR Menu → toggle ON.
An outlet code is generated — copy the link or print the QR code for each table.
Customer scans QR
Customer scans with their phone camera → web menu opens in their browser.
No app download needed — works on any smartphone.
Orders arrive in KDS
Customer orders appear in the Kitchen KDS screen automatically.
No cashier action required — kitchen staff can start cooking immediately.
Mark ready and collect payment
Kitchen staff taps "Mark Ready" → order appears in "Unpaid QR Orders" in the Reports tab.
Cashier taps it → Import to POS → Collect payment at counter.
KDS — Kitchen Display
Open the kitchen screen
Tap the Kitchen tab (flame icon). Best mounted on a tablet in the kitchen.
Tickets arrive automatically
F&B orders (Dine-in/Walk-in/Takeaway) and QR orders appear as tickets automatically, with a sound and haptic when a new ticket arrives.
Ticket statuses
Each ticket moves through: Waiting (orange) → Cooking (blue) → Ready (green) → Served (grey). The filter bar shows a count for each status.
Advance a ticket
Tap Start Cooking when you begin → Done when ready → Served when delivered.
When there are 3 or more waiting tickets, a Start All button appears to acknowledge them at once.
QR tickets & payment
Customer QR orders show as gold-bordered cards. Tap Accept → Mark Ready → Pay to import the order to POS and collect payment at the counter.
Reprint a kitchen ticket
If a kitchen printer is connected, tap the printer icon on a card to reprint the kitchen ticket.
Managing Staff & Roles
Add a new staff member
Settings → Users → tap "Add New User".
Enter their name and set a 4-digit PIN.
4 roles with different access
Owner — full access including all settings
Manager — full POS + reports
Cashier — POS + daily reports
Kitchen — KDS only, no POS access
Kitchen role (KDS only)
Staff with the Kitchen role see only the KDS screen when logged in.
POS, Reports, Inventory, Settings — all hidden.
Prevents kitchen staff from processing unauthorised sales.
Edit or disable accounts
Go to Settings → Users → select a staff member → update their name, PIN, role, or active status.
Void / Cancel a Sale (Refund)
Find the sale
Reports → Sale History → pick the date → find the sale by receipt number, time, or amount.
Void the sale
Swipe left on the sale row → Void, or open the sale detail → tap the red X icon. Confirm in the dialog.
Sales cannot be edited
Sales are immutable — a void creates a new record that references the original (it does not delete or edit it). Voided sales are excluded from your net report totals.
Stock after a void
A void does not restore stock automatically. If needed, adjust stock manually in Inventory → Stock.
Refund = Void
To reverse a sale (refund), use this Void function. Returning cash to the customer is handled by you at the counter.
Service Charge
Enable Service Charge
Settings → Service Charge → toggle ON → set your rate (e.g. 10%).
How it is calculated
SC is calculated automatically: (Subtotal − Discount) × rate
Example: Subtotal RM10, no discount, SC 10% = RM1.00
Shown on receipts
SC is printed as a separate line between Discount and SST.
Format: Service Charge (10%) ... RM1.00
SC is not subject to SST
Per Malaysian standard, SC is not subject to SST.
SST only applies to the product subtotal (for SST-registered products).
Reports & Export
Daily Report
Reports tab → Daily Report: total sales, payment method breakdown, transaction count.
X-Report (Current Shift Summary)
Shows the current shift summary without closing the shift.
Check sales performance at any point during the shift.
Z-Report (Close Shift)
Closes the shift and saves the final record.
A new shift opens automatically after the Z-Report.
Weekly and Monthly Reports
Select a custom date range to view reports for any week or month.
Gross Margin
View profit margin per product to identify your most profitable items.
Export PDF / CSV
Tap Export → choose PDF or CSV.
Share directly via WhatsApp, email, or save to Files on your phone.
Cloud Backup & Multi-Device
Start Cloud Backup
Sign in to a cloud account (email and password) to start cloud backup — Settings → Cloud Backup → tap Sign in to enable cloud backup.
On iPhone/iPad, a Cloud Backup switch lets you pause sync anytime without signing out.
On Android, there is no separate switch — signing out of the account is how you stop sync.
What gets backed up
Completed sales are sent to the cloud when the device is online. Your catalogue, customers, staff accounts and product photos are synced too, so they reach your other devices.
Your local data stays the source of truth — the app keeps selling even when the cloud is unreachable.
Manual sync
Tap Sync now to send immediately. "Pending upload: 0" means everything is synced.
Multi-device (phone POS + tablet KDS)
Sign in with the same account on a tablet (iPad or Android tablet) → set it as Kitchen Display. Orders from the phone POS appear on the tablet KDS in real time.
Offline stays safe
The app works fully offline. Sales queue on the device and are sent once you are back online.
Printer & Cash Drawer
Connect a printer
Settings → Hardware → Receipt Printer → Scan → select your printer. Supports ESC/POS Bluetooth (58mm/80mm). You can also set a separate Kitchen Printer.
Test print
After connecting, tap Test Print to confirm the printer works.
Open the cash drawer
With a printer and drawer connected, the drawer opens automatically after a cash payment. To open it manually: Settings → Hardware → Receipt Printer → Open Cash Drawer.
Automatic receipts
A receipt prints automatically on every sale when a printer is connected. You can reprint from Sale History.
